Our client, a nationally recognized boutique firm based in Midtown Manhattan, is seeking a professional and highly organized Executive Assistant to provide dedicated support to one of its named partners. This is a full-time, in-office position where the ideal candidate will demonstrate excellent judgment, discretion, and the ability to anticipate the needs of a senior executive in a fast-paced environment.

Key Responsibilities

  • Act as the primary administrative point of contact between the partner, attorneys, clients, and external stakeholders.
  • Manage an active and complex calendar; schedule meetings and coordinate reminders.
  • Answer and respond to incoming calls and correspondence on behalf of the partner.
  • Draft, edit, and prepare correspondence, presentations, spreadsheets, memos, and other legal/administrative documents.
  • Arrange and manage complex travel schedules and itineraries.
  • Work with Accounting to process and track vendor/client invoices; reconcile Amex accounts and process expense reimbursements.
  • Maintain and adjust the partner’s calendar, ensuring smooth coordination of client and internal meetings.
  • Assist in planning and executing firm events and cross-departmental projects.
  • Handle confidential information with the highest level of discretion.
  • Perform additional administrative tasks such as printing, copying, scanning, filing, and notarization as needed.

Qualifications

  • Bachelor’s degree preferred.
  • 2–3+ years of experience as an Executive Assistant in a law firm environment supporting managing partners, or C-Suite leaders.
  • Proficiency in Microsoft Outlook and MS Office Suite.
  • Excellent organizational and time-management skills, with keen attention to detail.
  • Strong written and verbal communication abilities.
  • Proven ability to manage competing priorities and deadlines under pressure.
  • Professionalism, discretion, and the ability to handle sensitive and confidential matters.
  • Positive, proactive attitude and ability to take ownership of both executive-level and administrative tasks.
